The 48th meeting of the GMDS Working Group "Archiving of Medical Records" will take place on 30th June and 1st July 2022 at the University Hospital right of the Isar (MRI) of the Technical University of Munich (TUM) in the rooms of the Central Institute for Translational Cancer Research (TranslaTUM).
The Munich Archive Days will focus on the current status of digital and IHE-compliant health and patient records, signatures, ECM systems and integration platforms. The conference will focus, among other things, on the state of digital archiving in Germany, concepts and solutions of the University Hospital right of the Isar (MRI-TUM), integration platforms of IHE- and FHIR-based solutions, interoperability of electronic archiving systems, standardised interfaces between documentation, signature and archiving services as well as current legal requirements.

The working group "Archiving of Patient Records" (AKU) of the German Association for Medical Informatics, Biometry and Epidemiology e.V. (GMDS) was founded in 1993 and for 26 years now has brought together mainly those stakeholders who are involved in the digital archiving or digitisation of patient records in hospitals, in science and in the software industry. The annual highlight of the working group is the "Archive Days" in December. The last meeting of around 100 experts from 2nd to 3rd December 2019 at the University Hospital Bonn had as its guiding theme: "Audit-proof, IHE-compliant and long-term-oriented generation & archiving of patient records: What awaits us in this regard in the age of digitalisation?". Even in 2020, the topic of archiving patient records and the upstream and downstream (analogue and digital) processes still has a very high priority.
Digital archives are multimedia and IHE-based archiving solutions in which procedural, syntactic and semantic interoperability play a major role. Standardised interfaces between documentation, signature and archiving services as well as current legal requirements must be taken into account. The techniques for intelligent indexing of scanned and digital documents continue to be a challenge and interesting developments were presented here. The documents stored in this way can serve as qualified digital patient files for intersectoral exchange if attention is paid to the interoperability of the metadata. Digital archiving systems are used for long-term and audit-proof storage of both original electronically generated and scanned documents in many archivable formats. In the meantime, digital archiving is not only used in the context of patient treatment, but also in ordering, invoicing, personnel and contract management, as well as for incoming invoices and mail, email archiving, in the context of clinical studies, for the exchange of information with physicians in private practice and for enquiries from the Medical Service of the Health Insurance Funds (MDK). In 2018, this topic was particularly highlighted and in 2019 the further development was discussed in expert lectures.
In 2019, the challenges of the future were discussed in particular, in which classic hospital information systems are in renewal processes and no longer pursue the monolithic or holistic approach, but increasingly pursue a platform strategy. Through the development to open up more to interoperability standards, to provide basic business logic, but otherwise IT ecosystems, archive systems, which have developed more in the direction of exchange platforms in recent years, are getting new competition. The discussion was held in particular in the context of the interaction between persisted individual data via the HL7 FHIR standard and the connection of archived documents whose contents are linked here via links to the HL7 FHIR resources.
Other significant topics of the future will be data protection, evidence and IT security, user-friendliness, the optimal design of treatment processes and mobility in electronic data and document access.

The last meeting of around 130 experts from 6th to 8th December 2017 at the University Hospital Frankfurt am Main showed: the topic of archiving patient records and the downstream processes is still very important.
In digital archives and ePA systems, data and documents from a wide variety of subsystems can now be precisely brought together and stored in a patient- or case-oriented manner. Digital archiving systems are used for long-term and audit-proof storage of both original electronically generated and scanned documents in many archivable formats. The uniform storage of documents in archivable standard formats also predestines archiving systems as a platform for the inter-institutional exchange of information.
In the meantime, digital archiving is not only used in the context of patient treatment, but also in ordering, invoicing, personnel and contract management, as well as for incoming invoices and mail, e-mail archiving, in the context of clinical studies, for the exchange of information with physicians in private practice and for enquiries from the Medical Service of the Health Insurance Funds (MDK). According to the users' wishes, digital archives should not only be used for the specific presentation of data, documents, images, etc., but should also be made evaluable. Generally, object-oriented archives do not meet this requirement. The additional provision of a suitable database (e.g. data warehouse) opens up a wide range of possibilities for data evaluation. The goal must be to develop an electronic "universal archive" that stores all data, documents, images, signals, films and other digital objects of an institution.
Starting from the established hospital information systems, Germany is currently moving increasingly towards IT-supported care networks. Telemedical applications such as teleradiology and telepathology are already widespread. However, the health care system is still a long way from targeted information logistics across institutions and sectors. The current trends are the further development and systematic use of standards, interoperability between different application systems, the introduction of IHE archives and electronic signatures, as well as the outsourcing of digital archives and services. Other significant topics of the future will be data protection, evidence and IT security, user-friendliness, the optimal design of treatment processes and mobility in electronic data and document access.

Activities in the reporting period from 1st January 2016 to 31st December 2016
During the reporting period, the working group "Archiving of Medical Records (AKU)" held several workshops and organised the Jena Archive Days.
Workshop "Audit-proof archiving and preservation of evidence of electronic / digitised patient records - how can IHE and signatures help?" on 18th April 2016 during the conhIT satellite event in Berlin, approx. 35 participants.
Digital archiving systems and solutions for electronic patient records are now in successful productive use in many health care institutions. Signature procedures are essential to achieve legal and audit security in digital archiving and communication processes. It is becoming apparent that practicable solutions will quickly be established on the market. IHE enables standardised interoperability between IT systems in the health sector on the basis of existing communication and document standards (HL7, DICOM, CDA, etc.). It can be observed that many manufacturers of digital archiving systems are now developing concepts that include standardised document exchange in combination with simultaneous audit-proof archiving. The workshop looked at both topics and tried to show synergy effects and future perspectives.

The content of the workshops was the discussion of IHE-compliant system architectures for audit-proof archiving systems. Participants were hospitals and industrial companies that deal with IHE and archiving. On 6th December 2017, on the sidelines of the Jena Archive Days, the "User Group Archiving" was founded by IHE Germany and the AG AKU, spokesperson of the initiative is Carl Dujat. A detailed publication of the results of this working group / user group will follow in 2017.
Jena Archive Days on 7th and 8th December 2016, 41st meeting of the GMDS working group "Archiving of medical records", approx. 120 participants
On 7th and 8th December 2016, the 41st meeting of the AG, the so-called "Jena Archive Days 2016" of the GMDS-AG AKU, took place on the premises of the University of Jena. The leadership of the AG was delighted to welcome over 120 interested participants to the event. The event was also held under the motto "25 years of digital archiving at Heidelberg University Hospital".
The 41st meeting of the GMDS working group "Archiving of Medical Records" will take place on 7th and 8th December 2016 in Jena, in the historical ambience of the Rose Halls of the Friedrich Schiller University in Jena, in the direct proximity of the campus of the university hospital in the city centre. The main topic will be the further development of archiving systems into integration platforms and IHE-compliant patient records. The main purpose of the working meeting is the intensive exchange of experiences. Focal points of the conference include the status of digital archiving in Germany, concepts and solutions of the University Hospital Jena, multimedia and IHE-based archiving solutions, interoperability of electronic archiving systems.
The topic of archiving patient records and subsequent processes is now being given a completely new, high priority. For a long time, many considered the topic a necessary "must": treatment in hospitals required documentation, paper files had to be stored and kept accessible in an audit-proof manner for the specified period - and billing, treatment of recurrences and possibly liability issues required the sometimes time-consuming search for the records on the ward or in the archive. Spaces are valuable, and reducing staff costs is an important goal when resources are scarce. Thus, via microfilming to today's scanning with digital long-term archiving and access via the hospital information system, solutions developed that save space and manpower and reduce risks regarding availability. The preservation of the evidential value of digitised documents has been illustrated in particular by model projects of the GMDS. The audit of hospital bills by the Medical Service of the Health Insurance Funds gave a boost to the acceptance of these new approaches: If argumentation-supporting patient documents cannot be submitted on time, there are deductions - which can add up. This can hardly be done with files in paper originals. In the future, documents must be delivered in digital form. Developments in revenue management and also in liability issues thus contributed significantly to the fact that the importance of documentation and archiving has changed considerably - also on the part of the commercial management of the hospitals. Whereas space savings used to be the main reason for deciding on new methods, today it is the streamlining and acceleration of information-based processes as well as the reduction of risks of non-availability. Consolidated archives of scanned and electronically generated documents - as well as medical images, patient-related measurement data supplied by devices, etc. - provide the basis here. However, there are also hurdles in the implementation of the technologies and methods. These include proprietary formats and processes that make it difficult and sometimes expensive for the systems involved to interact in archiving and reproducing digital information. The international standardisation initiative Integrating the Healthcare Enterprise (IHE) is making a major contribution to improving this situation. It bundles existing standards such as DICOM, HL7 and, in future, FHIR, and describes how they should be used in processes. Those who use IHE profiles and architectures achieve interoperability. IHE architectures for archiving and making patient records available were the central topic at the GMDS Archive Days in Jena. This choice of location was no coincidence: a project is under way at the university hospital there that will make the interoperability of the consolidated archive for intersectoral cooperation possible on the basis of IHE components such as Master Patient Index, Repository and Registry. Even if, as in previous years, the lack of space - in the new building - provided the initial impetus, it quickly became apparent that archiving has a significance that extends far into the processes. In the meantime, more and more hospitals nationwide are looking at setting up their archiving in an interoperable way - and thus also making themselves independent of individual providers. In order to further this development and to define necessary additions to the IHE profiles for Germany - such as audit security - the IHE User Group "Archiving" was founded in Jena from representatives of several hospitals. The group is open to all hospital and also industry representatives who have recognised the importance of standards for archiving patient records for their strategic goals.
Planned activities in 2017
The next (42nd) event is the workshop "Audit-proof and IHE-compliant archiving of digital patient records - current status and perspectives" on 24th April 2017 during the conhIT satellite event of GMDS and BVMI in Berlin. The workshop will be held in cooperation with the Competence Center for Electronic Signature in Healthcare e.V. (CCESigG) and IHE Deutschland e.V..
Preparation and implementation of the Frankfurt Archive Days at the beginning of December 2017, at the same time 43rd meeting of the working group "Archiving of medical records (AKU)" at the University Hospital Frankfurt am Main.

Archiving of Medical Records (AKU)
Specialist field of medical informatics
The working group "Archiving of Medical Records" (AKU), which was initiated by the Medical Informatics specialist field of the GMDS, is primarily concerned with methods and tools of document management and archiving, as well as with the complex topic of - cross-platform, electronic patient and case files. The focus and one of the primary fields of activity is archiving in hospitals and the healthcare sector.
The practical discussion and presentation of procedures and systems that ensure analogue and electronic archiving in everyday operations is another focus of the working group. At the so-called "Archive Days", which take place twice a year, system providers and system users alike lecture and discuss in front of and with an interested professional audience, which can inform itself specifically about the product portfolio of the most diverse system providers within the framework of company exhibitions.
Simultaneously with the Archive Days, recommendations for the conception, selection, procurement and operation of document management and archiving systems are elaborated and created in workshops or in sub-working groups, or guides and sample templates on specific topics and procedures are written and published.
The working group sees itself as a forum for an intensive exchange of information between users, providers, researchers and generally interested parties. Good contacts are maintained with thematically related working groups and societies. The aim is to network the various working groups active in this field and, above all, to bundle market-politically important goals and legislatively necessary specifications and activities in archiving in the hospital environment and in health care.

On the 2nd and 3rd of December 2019, the "Bonn Archive Days 2019" of the GMDS-WG "Archiving of Medical Records" will take place in cooperation with the Competence Centre for Electronic Signature in Healthcare (CCESigG), the Entscheiderfabrik and the IHE Deutschland e.V.
It will be held at the Dorint Hotel Venusberg Bonn and in the neighbourhood of the campus of the University Hospital Bonn.
The main theme of the event is "Audit-proof, IHE-compliant and long-term-oriented generation & archiving of patient records - what awaits us in this respect in the age of digitisation?
The main topic is the further development of archiving systems into integration platforms and IHE-compliant patient records. The main purpose of the working meeting is the intensive exchange of experience. Focal points of the meeting include the state of digital archiving in Germany, concepts and solutions of the Bonn University Hospital, multimedia and IHE-based archiving solutions, interoperability of electronic archiving systems, standardised interfaces between documentation, signature and archiving services as well as current legal requirements. As usual at our events, there will be a presentation and tour of archiving and HIS components, this time taking place at the University Hospital Bonn. On Monday evening, the first day will end in a cosy atmosphere in the restaurant of the Dorint Hotel Venusberg.
As usual, we expect between 100 and 120 participants and offer an attractive and exciting programme.

“Archiving of Medical Records”
The 45th meeting of the GMDS working group "Archiving of Medical Records" will take place the 5th and 6th of December 2018 at the Radisson Blu Hotel Rostock and in the proximity of the campus of the University Medical Center Rostock. The main topic will be the further development of archiving systems into integration platforms and IHE-compliant patient records. The main purpose of the working meeting is the intensive exchange of experiences. Focal points of the meeting include the state of digital archiving in Germany, concepts and solutions of Rostock University Medical Centre, multimedia and IHE-based archiving solutions, interoperability of electronic archiving systems, standardised interfaces between documentation, signature and archiving services as well as current legal requirements. As usual at our events, a presentation and tour of archiving and HIS components will be offered, this time taking place at the University Medical Centre Rostock. On Wednesday evening, the first day will end in a cosy atmosphere in the "Ostseesaal" of the Radisson Blu Hotel Rostock.

Dear Ladies and Gentlemen,
Dear colleagues,
on the 7th and 8th of December 2017 the Frankfurt Archive Days 2017 of the GMDS-WG "Archiving of Medical Records" will take place
at the University Hospital Frankfurt (tours) and at the nearby Dorint-Hotel Frankfurt-Niederrad (lecture sessions).
The event has the working title "Audit-proof, IHE-compliant and long-term stable archiving of digital patient records - where do we stand today?" and will, as usual, include a large number of presentations on various topics relating to electronic patient records, archiving and DMS solutions, IHE-compliant platforms, electronic signatures, legal framework conditions or experience reports from concrete projects, in addition to visits and presentations on the solutions used by the local host / organiser (University Hospital Frankfurt/Main).
As usual, we expect between 120 and 150 participants and are currently already working intensively on an attractive programme, of course also for the traditional evening event on the 7th of December 2017.

Dear colleagues,
On the 7th and 8th of December 2016, the "Jena Archive Days 2016", the 41st meeting of the GMDS working group "Archiving of Health Records" (AKU), will take place at Jena University Hospital. In addition to the GMDS-WG "AKU", co-organisers are the Competence Center for Electronic Signature in Healthcare (CCESigG e.V.), the Entscheiderfabrik specialist group "ECM Systems and IHE" and IHE Deutschland e.V. The main topic of the event is "Interoperable and IHE-compliant archiving of patient records - opportunities and perspectives".
On the 6th December 2016 in the afternoon, the founding event of the user group "IHE Archiving" of IHE Germany and GMDS-AKU will take place, which is exclusively reserved for hospitals.
The 41st meeting of the GMDS working group "Archiving of Medical Records" will take place in the historical ambience of the Rose Halls of the Friedrich Schiller University in Jena, in the direct proximity of the campus of the University Hospital in the city centre. The main topic will be the further development of archiving systems into integration platforms and IHE-compliant patient records. The main purpose of the working meeting is the intensive exchange of experiences. Focal points of the meeting include the state of digital archiving in Germany, concepts and solutions of the University Hospital of Jena, multimedia and IHE-based archiving solutions, interoperability of electronic archiving systems, standardised interfaces between documentation, signature and archiving services as well as current legal requirements. As usual with our events, a presentation and tour of archiving and HIS components will be offered, this time taking place at Jena University Hospital on the Lobeda campus. On Wednesday evening, the first day will end in a cosy restaurant atmosphere in Jena's old town.

“Archiving of Medical Records”
The 39th meeting of the GMDS working group "Archiving of Medical Records" will take place on the 2nd and 3rd December 2015 in the conference centre of the Heidelberg Youth Hostel and in the immediate vicinity of Heidelberg University Hospital. The main topic of this meeting, in addition to paying tribute to 25 years of digital archiving at Heidelberg University Hospital, is primarily concerned with the further development of archiving systems into multimedia and integration platforms and IHE-compliant patient records. The working meeting serves to exchange experiences about new methods, concepts, developments, experiences and tendencies in the field of document management and digital archiving. After the presentations, there will be the opportunity for extensive discussion. Focal points of the conference include the state of electronic archiving in Germany, concepts and solutions of Heidelberg University Hospital, presentation of various archiving systems, multimedia, ECM and IHE-based archiving solutions, interoperability of electronic archiving systems, standardised interfaces between documentation, signature and archiving services as well as current legislation and other legal requirements. As with previous events, there will also be a presentation and tour of archiving and HIS components, this time taking place at Heidelberg University Hospital on the Neuenheimer Feld campus. On Wednesday evening, the first day will end in a (very) cosy atmosphere at the "Heidelberger Kulturbrauerei".

37TH MEETING OF THE GMDS WORKING GROUP
“Archiving of Medical Records”
On the 3rd and 4th of December 2014, the "Berlin Archive Days" will take place at the Vivantes Klinikum Berlin-Neukölln. The event is the 37th of its kind and is organised by the GMDS working group "Archiving of Medical Records" (AKU). The host of the Archive Days is Mr Gunther Nolte, Head of Department "Information Technology and Telecommunications" and authorised signatory at Vivantes - Netzwerk für Gesundheit GmbH. In addition to the detailed presentation of selected components of the hospital information and archiving systems in the Vivantes hospital group, the event will focus on topics such as multimedia archiving systems, signatures, IHE-compliant patient records as well as document management and processing solutions. The event will be rounded off by an accompanying industry exhibition and a joint evening event on the 3rd of December 2014. Further information on the programme and online registration will be available on this website from 27th October 2014.

The 36th meeting of the GMDS working group "Archiving of Medical Records" will take place on the 19th and 20th of March 2014 at the Karl Bröger Centre in Nuremberg and at Nuremberg Hospital.
The main topic of this meeting deals with further developments of archiving systems to multimedia and integration platforms. The working meeting serves to exchange experiences about new methods, concepts, developments, experiences and trends in the field of document management and digital archiving.
Focal points of the conference include the state of electronic archiving in Germany, concepts and solutions of Nuremberg Hospital, presentation of various archiving systems, intelligent file-based billing and controlling processes, multimedia, ECM and IHE-based archiving solutions, cloud approaches for archives, interoperability of electronic archiving systems, standardised interfaces between documentation, signature and archiving services, as well as the Patient Rights Act and other legal requirements. As with previous events, there will also be a presentation and tour of archiving components, this time taking place at Nuremberg Hospital.

The 34th meeting of the GMDS working group "Archiving of Medical Records" will take place on the 30th November and 1st of December 2011 in the Wannersaal of the Linden Museum Stuttgart (Hegelplatz 1, D-70174 Stuttgart) with the support of the Klinikum Stuttgart. The primary purpose of this meeting is to exchange experiences about new methods, concepts, developments, experiences and tendencies. After the lectures, there will be the opportunity for extensive discussion.
The conference will focus, among other things, on the state of archiving in Germany, quality assurance of digital archives, integrated signature processes, IHE-compliant archiving systems and archiving in the context of clinical studies. Furthermore, practical experiences with archiving solutions from several German hospitals will be presented. In addition, there will be a presentation of components of the computer-aided information system of the Klinikum Stuttgart with a focus on documentation and archiving.
