Authors' Notes at Annual Conferences

  • General authors' notes for long papers at GMDS annual conferences

    The following research papers and reports can be submitted to GMDS annual conferences:

    • Original works
    • Reviews:
    • Technische Fallberichte / Technical Case Reports

    Manuscripts for long papers are not allowed to have been previously published in printed or electronic form and are not allowed to have been submitted to another conference, journal or publishing house for review/publication.

    Prior publication of an abstract or presentation of results at another meeting is permitted, but this must be stated in the submission and in the manuscript. The structure and content of the manuscript should comply with theICMJE "Uniform Requirements" or the Reporting Standards of the Equator Network. For deviating standards, especially for technical contributions from (medical) informatics, please refer to the table below.

    In addition, the specific requirements for publication in Stud Health Technol Inform or the GMS MIBE must be followed.

    Title

    The title should describe the content as concisely and precisely as possible - and indicate the type or method/design of the study:

    • (method or technology) on (endpoint) of (population) – a stepped wedge trial
    • (Technology) in  (application domain) - a scoping review
    • (Method / Technology / System / Project) - A Technical Case Report or (Method / Technology / System / Project) - Lessons learned

    The title of original papers, reviews and case reports is not to contain any questions or anticipate the results of studies.

    The following information on research integrity must be provided at the end of the manuscript:

    Ethics vote: Investigations involving human subjects or personal data or biomaterials require the indication of the vote of the competent ethics committee. This must be given in the form: Ethics Committee, Chairman, vote no., date of first vote.

    Study register: For all studies with an entry in a study register: study register and no. in the study register.

    Conflict of Interest: Declaration of conflicts of interest of the authors according to the ICMJE criteria. If there is no conflict of interest: "The authors declare that there is no conflict of interest".

    Authors' contributions: Only authors who fulfil the criteria of the DFG or the ICMJE for authorship are to be listed. The contributions of the individual authors to the publication must be stated. Use the name abbreviations (first letter of the first first name, first letter of the last name). Example for a publication with Andrea author, Bernd author, Claudia author:

    "Contributions of the authors: AA, CA: conception and implementation of the studies, data collection and interpreattion; BA: study design, data analysis and interpretation; AA, BA: writing of the manuscript, CA substantial revision of the manuscript. All authors have approved the manuscript as submitted and accept responsibility for the scientific integrity of the work."

  • Specific requirements for long papers in the GMDS Series in Studies in Health Technology and Informatics
    • The manuscript must be submitted as a Word document (*.docx) camera-ready according to the format requirements of IOS-Press. The format requirements and templates can be found at IoS-Press, templates for special types of contributions can be found in the table under the heading "General Instructions for Authors for Long Papers at GMDS Annual Meetings" (see above).
    • The manuscript must not exceed 8 pages.
    • There is a publication fee of 50€ plus VAT 7% per page for acceptance. The conference fee includes the publication fees for the first six pages. Upon receipt of the conference fee from an author, only additional publication fees will be charged from the seventh page onwards.
    • The manuscript must comply with the Reporting Standards of the Equator Network (https://www.equator-network.org/) or the requirements of the General Instructions for Authors (see above).
    • Author group / Collaborators:

    • If a group of authors or a research group was involved, these must be indicated at the last author position in the online registry. A separate email address, preferably a functional address, is required for this purpose.
    • In the manuscript, the author group must be listed after the last author with "on behalf of { Research Group }". The individual authors are to be listed in a footnote (style "Footnote"). (There may still be changes in the style here).

    Review Process

    The review process takes place in two stages: After the first review, the authors receive the result of the review. If the paper is accepted, acceptance is often accompanied by instructions for revision, which are a prerequisite for final acceptance. The revised manuscript according to the reviewer comments must be submitted to the online registry with a rebuttal letter and an additional version in which the changes have been identified. The second stage of the review process is the final assessment and final decision on whether the manuscript has been appropriately revised and is accepted for publication in the GMDS Series in Studies in Health Technology and Informatics. A further review step is not possible due to the tight deadlines for publication of papers before the conference. If the manuscript is rejected in the first or second review, the SPC will decide whether to offer the authors acceptance of the abstract in conjunction with a presentation at the GMDS annual conference. In this case of acceptance by the authors, the abstract will be published in eGMS.

  • Specific requirement for long articles for publication in the GMS Medical Informatics, Biometry and Epidemiology
    • The manuscript is submitted to the online registry
    • Length: Maximum 25,000 characters (incl. spaces) - without abstract and references, incl. legends and tables.
    • Maximum 6 figures or tables
    • Except for the limitations listed above, the MIBE author's notes apply:

    The review process takes place in two stages: After the first review, the authors receive the result of the review. The revised manuscript according to reviewer comments must be submitted to both the online registry and the MIBE review system with a rebuttal letter and an additional version identifying the changes (https://www.egms.de/dynamic/de/login-submit.htm). The second stage of the review process is to assess whether the manuscript has been appropriately revised and is acceptable for inclusion in the MIBE Annual Meeting Special Issue. If not, another round of peer review will be conducted according to the MIBE procedure. If successful, the manuscript may be published in a later issue of MIBE (outside the special issue).

    Should the manuscript be rejected in the first or second review, the SPC will decide whether to offer the authors an acceptance of an abstract combined with a presentation at the GMDS Annual Meeting. If the authors accept this opportunity, the abstract will be published in eGMS.

    In addition, tutorials, workshops and special formats can be submitted.

    Where and how are the contributions to be submitted?

    Submissions of contributions are made via the online registry.

    Submissions for the 2023 Annual Meeting are made here:

    • Start date for submissions: 03.02.2023
    • Deadline for full papers: Studies in Health Technology and Informatics and MIBE: March 31, 2023.
    • Deadline for abstracts (oral, poster, workshop, panel, tutorial): 30 April 2023.
    • Special formats (working group meetings, project groups, working groups, steering committee and technical committee meetings, and workshops, discussion panels, BarCamps, or other formats).

    These contributions are reviewed by the respective department heads. The process will be kept streamlined; quick feedback on acceptance is encouraged.

  • Abstracts

    What kind of contributions are accepted?

    • Original contributions
    • First interim results
    • Case studies / case reports
    • Concepts (assessment criteria here are a particular originality, as well as degree of maturity and stage of implementation, if possible initial experience)


    Are papers accepted that have already been presented at other conferences?

    If a paper has already been presented in full or in part at another conference, it must be stated in the references at the time of submission where the paper has already been presented and / or published.

    Further, select:

    • The rights are yours and the abstract should be published in the eGMS Proceedings as submitted.
    • The rights do not belong to you and only a link to the original abstract publication should be published in the conference programme. In this case, the DOI or another link / citation of the abstract must be provided.

    What forms of presentation can be chosen?

    • Presentation
    • Poster

    Formal requirements:

    • Submission via the online registry: The contribution (without title, authors and bibliography) in German or English is copied into the text field (max. 500 words).
    • Length: 500 words
    • References (max. 5) must be given separately and do not count towards the 500 words.
    • Abstracts can be submitted in German or English.
    • Structure of the abstract (headings):

    german:

    • Introduction, methods, results, discussion, conclusion
    • Introduction, state of the art, concept, implementation, lessons learned

    english:

    • IMRD: Introduction, Methods, Results, Discussion, Conclusion

    The references are inserted in the text field "Literature/References" according to the following scheme, whereby references are given vancouver style:

    o   A new line in the text field is used per reference.

    o   The references are numbered consecutively with the same numbering ([1]) as referenced in the text.

    How will it be presented?

    Presentation

    • 10 minutes talk and 5 minutes discussion.
    • The presentation can be shown in any format (e.g. .pptx) via "share screen" during the session.
    • Alternatively, to be on the safe side, the presentation should be in PDF format so that it can be shown via upload. Note: Animations/video embeddings may be lost in the process.

     

    Poster:

    • The posters will be displayed online on the conference platform.
    • You can use your own (internal) poster template for this.
    • The posters can be stored and displayed in the platform in PDF format.
    • In addition, a video can be linked in which the presenter explains the contents of the poster.
    • A live exchange takes place in the networking area of the platform.
